Brides Note

Dear Bride to be…

 

Thank you for allowing me to participate in the planning of your wedding. You must make many decisions about flowers, photography, wedding and reception locations, catering, and your very special dress. All of this planning is done to build a special memory for the start of your new life.

 

A special design can be incorporated into your wedding cake. Your only limits are your imagination. Please feel free to let me know if you have something special you would like. Remember that you can change almost anything up to three weeks before the wedding. Please, no changes in size or design after the deadline.

 

Ingredient cost is nominal in your cake – but time is a major factor. Some cakes can be baked and decorated in a few days; others require weeks of preparation and planning time. The more time involved in your special cake the more costly it will be.

 

Cutting the Cake
Wedding cake servings on a two layer cake are one inch wide and two inches long (see diagram) or two inches square on a one layer cake. I will try to make the serving of your cake as easy as possible. All cakes cannot be handled the same and I will be glad to advise you on your particular cake design. It takes two people to serve each cake ordered. You will need to make arrangements for your cake knife, servers and the cake plates.

Follow the numbers in numerical order for the best cutting guide. Have nearby a small tray with a cutting knife, one protective glove, and damp towel (for cleaning the knife as necessary).

 

Delivery
Delivery is free within a 15 mile radius of our shop. If delivery address is outside our free delivery zone, the delivery fee will be calculated according to time and mileage.

 

Flowers
Your florist will be able to help you choose the appropriate flowers and foliage for your cake. If you are using fresh flowers on your cake, the florist is responsible for the flowers and making sure that the flowers and foliage are safe to place on an edible cake.  We recommend that your florist place the flowers you have selected for your cake.  The florist is the flower professional.                Virginia's can place flowers on your cake for an additional charge.  However, keep in mind that we are not florists so flower placement is only as good as our skill level.  Cost for flower placement starts at $20 per tier- Customer supplies flowers.

 

Date Deposit
In order to book your wedding cake, it is required that a date deposit is placed. The minimum date deposit is half the cost of the wedding cake order and will be applied to the balance. After placing a deposit to ensure production of your cake, you may pay the balance in several payments considering the order is paid in full 14 days before the event date.

 

Equipment Deposit(s)

Because wedding cake equipment (plateaus, mirror, etc) is expensive to replace we require a refundable equipment deposit to use wedding equipment.

All plateaus require a $200 deposit, refundable upon equipment return. 

All mirrors require a $50.00 deposit, refundable upon return.

If you choose to rent one of our plateaus the rental fee is $50.00 (non-refundable). Mirrors may be used at no additional charge.        We require a credit card number on file in the event the equipment is not returned or returned damaged.

 

Equipment Returns
After the wedding, please return, as soon as possible (or no later than 10 days after the event), all of the pieces used in the assembling of your cake (metal, plastic, fabric, Styrofoam, wood, etc.). A note will accompany the cake(s) upon delivery listing all equipment to be returned. Full replacement cost will be charged for items not returned within 14 days of the wedding date.

 

Honeymoon Cake

As our THANK YOU-At your reception area you will find a complimentary 6″ cake to take on your honeymoon. You can then enjoy more than the traditional one bite of cake you eat for your pictures. Have someone add other goodies (served at your reception) to this box.

 

First Anniversary
Remove the top cake tier from the wedding cake by slipping a knife under the cardboard base of the top tier.  Place the cake in a box, wrap the box or container with several layers of plastic wrap and aluminum foil, and then place the whole thing in an

air-tight plastic container. Keep in a DEEP freezer for a year and when you are ready to eat your anniversary cake, remove the container from the freezer and let the cake thaw in the container with the aluminum and plastic still covering the box. When the cake has time to thaw completely, remove the cake from the container/box, unwrap and enjoy!


*Or, you may call us two weeks prior to your first anniversary and we will make a fresh 6” cake for $15.00

Cancellation Policy 

We hope you will not need to worry about this part of the letter but if in the event of something happening and you must cancel your order less than 120 days before your wedding (4 months), the retainer or date deposit paid at time of booking and/or payments made before final due date will not be refunded. However, a partial store credit may be offered at the discretion of Virginia’s Cakes. Our Company has held the date for your event and have passed on booking with other clients needing the same date. If the order is cancelled before the 120 days mark, the full date deposit amount and any moneys paid toward balance will be refunded, less $50 processing.

(The Equipment deposit does not apply to the cost of the wedding cakes)
